Verfolia Technologies Pvt. Ltd. ("Verfolia", "we", "us") operates Verfolia Placements, a placement management platform used by colleges and universities across India. Our registered contact is melroy@verfolia.com.
When your institution subscribes to Verfolia Placements, the institution acts as the data controller for student and employer data. Verfolia acts as a data processor, handling that data only as instructed by the institution and as described in this policy.
Institution account data
When your placement cell registers, we collect the contact person's name, email address, college name, and designation. This is used to operate your account and communicate with you.
Student data uploaded by your institution
Your placement team uploads student records including names, branches, CGPA, skills, placement status, and contact details. This data powers the AI matching, profile sharing, and reporting features. Verfolia does not use student data for any purpose beyond delivering the platform to your institution.
Your institution is responsible for ensuring students are informed about and consent to their data being managed through this platform, in line with applicable regulations including India's Digital Personal Data Protection Act, 2023.
Employer data
Contact details and activity data for companies your placement cell interacts with — including who viewed profiles, for how long, and what actions they took. This is visible only to your institution's admin account.
Usage and analytics data
We collect anonymised data about how the platform is used — page visits, feature usage, errors — to improve performance and stability. This is not linked to individual students or staff members.
We do not use your institution's data or your students' data for advertising, third-party analytics, or model training.
We share data only with the following categories of sub-processors, all bound by data processing agreements:
We never sell data. We never share student or institution data with other colleges, employers, or third parties without your explicit instruction.
We retain account and student data for as long as your institution is an active customer. When you close your account, we delete or anonymise all personal data within 30 days, except where retention is required by Indian law or for resolving disputes.
Aggregated, anonymised usage statistics that cannot be linked to any individual may be retained for internal analytics.
All data is encrypted in transit (TLS 1.2+) and at rest. Access to production data is restricted to authorised Verfolia personnel only, under role-based access controls. We conduct periodic security reviews.
No system can guarantee complete security. In the event of a data breach that affects your institution, we will notify you within 72 hours of becoming aware of it.

We use essential cookies only — session tokens and authentication cookies required for the platform to function. We do not use advertising or tracking cookies. You can disable cookies in your browser, but core platform features will not work without them.
We may update this policy when our practices change. Material changes will be communicated by email to your institution's registered contact at least 14 days before they take effect. The current version is always available at verfolia.com/privacy.
